About the Role:

The CX Administrative Assistant provides administrative and operations support to leaders across the Customer Experience (CX) Team at Gusto. This role partners with the Lead CX Executive Operations (ExecOps) Partner to effectively support the entire team.This person will provide calendar coordination, travel and event support, and be part of impacting team morale through community and team maintenance. They will be part of the broader operations community at Gusto and report directly to the Lead CX ExecOps Partner.

About the Team:

The ExecOps Team at Gusto acts as a “glue function” that ensures smooth operations across various teams. By partnering with cross-functional teams, they build relationships, communicate and cascade information, and identify solutions to gaps and inefficiencies. The CX Administrative Assistant will be tied functionally to the CX Team. The CX team serves and supports Gusto customers once they’ve onboarded to the platform. The CX Administrative Assistant has the unique ability to influence and impact Gusties in the CX organization and Gusto customers.

Here’s what you’ll do day-to-day:

Calendar Coordination: Organizes, coordinates, and schedules meetings and events in a strategic and proactive way to reduce conflicts and increase leadership effectiveness.

Meeting Support: Schedule and coordinate meetings both internally and externally.

Travel planner: Booking and arranging flights, hotels, and transportation.

Gifted communicator: Communicates clearly both verbally and in writing with the leads being supported, peers on the ExecOps team, and cross-functional partners.

Events and Community Building: Embodies Gusto Values while planning team off-sites, team-building events, and connecting the dots between different parts of the Gusto organization.

Special Projects and Functional Team Support: Identifies and takes on specific projects that will help improve the efficiency and effectiveness of the functional team supported.

Here’s what we’re looking for:

1-3 years of administrative experience or a related field, preferably with experience supporting VP-level executives or General Managers. Demonstrated proficiency in coordinating across departments, managing travel logistics, and planning events.

Demonstrated ability to manage multiple, competing requests promptly. Developed structured time management methods and prioritization strategies, capable of articulating and implementing these approaches effectively.

Experience organizing (in-person, remote, and hybrid) team events with ~50 Gusties, such as a team community building event. Complex travel arrangements and scheduling with many moving parts is a plus.

Experience supporting scheduling with external parties is a plus.

Strong EQ, adept at understanding and connecting with others, fostering a comfortable environment for colleagues at all levels. Ability to communicate the priorities of the team and leaders to others inside the organization, whether it is by written verbal, or group communications.

Dedicated to optimizing processes and improving outcomes. Expertise in major productivity suites, particularly Google Apps, and adeptness in evaluating and adopting new tools to enhance workflow efficiency.

Our cash compensation amount for this role is $70,000 – $84,000 in Denver. Final offer amounts are determined by multiple factors including candidate location, experience and expertise and may vary from the amounts listed above.

Gusto has physical office spaces in Denver, San Francisco, and New York City. Employees who are based in those locations will be expected to work from the office on designated days approximately 2-3 days per week (or more depending on role). The same office expectations apply to all Symmetry roles, Gusto’s subsidiary, whose physical office is in Scottsdale.

Note: The San Francisco office expectations encompass both the San Francisco and San Jose metro areas.

When approved to work from a location other than a Gusto office, a secure, reliable, and consistent internet connection is required.
