Job Description:

Academic Services is focused on supporting SAIT’s schools and departments in their pursuit of SAIT’s strategic priorities. Academic Services brings together several academic development, delivery, and quality assurance units with a common goal: student success. Academic Services provides unique, flexible support programing designed to help learners succeed in their chosen SAIT career program.

Reporting to the Operations Supervisor, the successful candidate will assist in the coordination of day-to-day operations, provide administrative support to the Academic Chairs in Academic Services and provide Office Reception services.

The incumbent is expected to work collaboratively with colleagues to create a student-centered learning environment which is pedagogically sound, technically supported and innovative in nature. You must be able to demonstrate excellence in your communication skills, organizational skills and have the ability to function in a collaborative team environment.

The incumbent works closely with the Leadership Team of Academic Services to provide administrative support to ensure smooth office operations and support the implementation of projects and activities.

The Role

Office Reception – provides exceptional service to students, clients and instructors in person, by phone, and email.

Performs all duties autonomously and proactively.

May be required to organize meetings, coordinate correspondence and communications, manage schedules, arrange travel, prepare documents and reports, coordinate administrative processes, events, maintain and update tracking spreadsheets, and assigned projects.

Excellence in customer service, problem solving and responding efficiently and timely to requests is a key factor.

A strong planner who is able to anticipate the team’s needs. Demonstrates level-headedness and rational thinking when under pressure and brings the calm and support needed in a fast and high performing environment.

Liaise professionally with Office of the Registrar, Finance, Security and other SAIT departments.

Maintain an in-depth knowledge of SAIT’s FOAPAL codes for ensuring proper coding of all financial documents

Contact suppliers, as required, with any pricing/invoicing questions. Make purchases and process payments within budget. Complete expense claims and VISA reconciliation forms

Meeting monthly, quarterly and year end timelines

Assist other team members when required including administrative assistant in Academic Services

Contribute positively to meetings and events

Actively participate in SAIT Academic Services initiatives

Qualifications

Bachelor’s degree or higher. An equivalent amount of education and experience would also be considered.

Minimum of 1 – 2 years’ relevant experience

Experience in post-secondary or adult education would be an asset

Excellent computer skills

Salary Range: $41,790.45- $51,498.00

Hours per week: 36.25 hours

A flexible Hybrid work model can be offered for this role in accordance with SAIT guidelines.
