Job Description:

The Registrar acts in a management position with director-level responsibility for the accuracy, security, maintenance, confidentiality, and integrity of physical and electronic student records. The Registrar will frequently interact with staff, students, and external parties regarding student records content. In addition, the Registrar is responsible for observing and monitoring campus Academic compliance. This would include Academic processes, records, as well as Academic process integrity. COMPENSATION:

Between $60k-65K per year

WORK LOCATION:

Remote, supporting an Online Campus

Responsibilities

Maintain the accuracy and confidentiality of student records, including transcripts, grades, and enrollment information

Ensure compliance with FERPA and other relevant laws

Oversee processes for grade changes, transcript requests, high school graduation information, approved transfer credits, entrance exam scores, final grades and degree verifications

Validate that all required documents are in the student file and/or legibly scanned

Post and monitor students’ daily attendance for accuracy; Post attendance changes with appropriate change documentation

Maintain proper student status in system through timely processing of all Change of Status forms

Manage the graduation application process and conduct degree audits

Certify students for graduation and ensure diploma issuance

Maintain records of conferred degrees

Develop, interpret, and enforce academic policies and procedures

Monitor all aspects of campus Academic compliance

Work with faculty and administrative staff to support student success

Serve as the primary point of contact for inquiries related to academic records.

Work with IT department to correct student records

Provide training to staff on registrar-related policies and systems

Compile and submit data for third parties, accreditation, government reporting, and institutional research

Prepare proof of enrollment verification letters for third parties.

Answer inquiries concerning duplicate diplomas, transcript information, course descriptions, etc.

Deliver report cards, diplomas and verification letters as requested

Provide enrollment statistics, retention rates, and other reports to leadership

Monitor and support the accuracy of the data in the Student Information System (SIS) and other relevant platforms

Investigate and resolve records listed on exception reports

Ensure that documentation for policy exceptions is valid, accurate and securely maintained

Establish/maintain a high performance team of professional, motivated and engaged staff utilizing effective training, performance management and career-development activities while leading them to achieve established business results and performance metrics.

Recognizes and rewards employee contributions and achievements.

Other duties as assigned.

Qualifications

Education / Experience

Bachelor’s Degree in a related field preferred or minimum three years experience in a related field

Experience with student information and life-cycle platforms (CampusNexus, CourseKey, and Docuware)(preferred)

Experience with FERPA regulations and higher education compliance requirements

Minimum of 3 years of online education experience preferred

Skills

Proficiency in Microsoft Office

Proficiency in data management and reporting tools

Excellent customer service skills

Abilities

Able to stay updated on federal, state, and institutional regulations affecting student records and reporting.

Work Environment

This position is designated as Onsite; Work environments may include exposure to student learning environments with a variety of conditions. Employees must be able to follow all safety precautions including the use of personal-protective equipment. Employees must also be able to adhere to site-specific safety

For ONLINE CAMPUSES: This position is designated as Remote; Employees must meet minimum technical standards for eligibility and participation.
